Privacy Policy

This policy explains how Viona Travel collects, uses, shares and protects personal data when you use our website, request a proposal or book travel services.

1. Who we are and scope

Viona Travel is a travel agency operating from Business Center, SPC Free Zone, Sharjah, United Arab Emirates. In this policy, “Viona Travel”, “we”, “us” and “our” refer to the business responsible for the website and the personal data described below.

This policy applies to vionatravel.com, its trip planner and offer landing pages, website enquiries, WhatsApp and email communications, proposals, bookings and after-travel support. A supplier may provide its own privacy notice when it processes data independently.

2. Personal data we collect

  • Identity and contact details, such as name, email address, telephone number, nationality and preferred language.
  • Travel and booking details, including destinations, dates, budget, room preferences, dietary or accessibility requests, traveler details and itinerary choices.
  • Passport, visa, date-of-birth or similar information only when reasonably required to arrange a confirmed service.
  • Payment and transaction records. Payment providers may process card or banking details directly; we do not ask you to submit full card details through a general website form.
  • Communications, feedback, complaints and information you add to free-text fields or send to our team.
  • Technical and attribution data, such as IP address, browser and device information, pages viewed, consent choices, source URL, referral URL and campaign identifiers such as UTM, Google, Meta or TikTok click IDs.
Please do not send passport copies, health information or payment-card details unless our team has requested them through an appropriate channel for a confirmed booking.

3. How we obtain data

We obtain data directly from you, from a lead traveler acting for a group, from your use of our websites and communications, and from travel suppliers or business partners when necessary to manage an enquiry or booking.

4. Why we process personal data

Depending on the activity, processing is based on your consent, the steps you ask us to take, performance of a contract, compliance with UAE legal obligations, protection of vital interests, or another basis permitted by applicable law. You may withdraw consent at any time, without affecting processing already carried out lawfully.

  • To respond to enquiries, prepare proposals and take requested steps before a booking.
  • To confirm and administer flights, accommodation, transport, activities and other contracted travel services.
  • To communicate changes, provide destination support, handle emergencies and resolve complaints.
  • To keep financial, consent, booking and compliance records and to establish or defend legal claims.
  • To secure, operate, troubleshoot and improve our websites and services, including fraud and abuse prevention.
  • To measure website performance and campaigns, and to deliver marketing only where the required consent or another lawful permission applies.

5. Group bookings and children

If you provide information about another traveler, you confirm that you are authorized to do so and have made this policy available to them. A parent or legal guardian must provide information relating to a child. Our website is not directed to children and we do not knowingly collect children’s data directly for marketing.

6. Who receives personal data

  • Airlines, hotels, destination-management companies, transport providers, guides, activity providers, insurers, visa-support providers and other suppliers needed for your requested services.
  • Technology and professional service providers that host, secure or support our operations, including Cloudflare, Supabase, Sanity, email-delivery providers and professional advisers.
  • Google, Meta and TikTok for analytics or advertising only when the relevant consent settings permit those services to load.
  • Banks, payment providers, regulators, law-enforcement bodies, courts or other authorities when required or permitted by law.
We do not sell personal data. We disclose only the information reasonably needed for the relevant purpose.

7. International transfers

Travel is international by nature. Your information may be transferred to destinations and service providers outside the UAE, including countries with different data-protection laws. We use appropriate contractual, organizational or other lawful safeguards where required, and limit transfers to what is necessary to arrange or support your travel.

8. How long we keep data

We keep personal data only for as long as needed for the purpose collected, including managing your enquiry or booking, providing support, meeting accounting and legal requirements, resolving disputes and preventing fraud. Retention depends on the record type, supplier obligations and applicable statutory periods. High-risk identity documents are restricted and removed when no longer needed, unless a legal claim or obligation requires longer retention. Data that is no longer required is deleted, anonymized or securely archived with restricted access.

9. Security

We use proportionate technical and organizational safeguards, including access controls, encrypted transmission, restricted databases, service-provider controls and staff procedures. No internet or storage system is completely secure. If a personal-data breach creates a legally reportable risk, we will take the notification and mitigation steps required by applicable law.

10. Your privacy rights

Subject to applicable law and its exceptions, you may ask for information about our processing, obtain a copy of your data, request correction, deletion, restriction or cessation of processing, request transfer where applicable, object to certain automated processing, or withdraw consent. We do not make decisions producing legal or similarly significant effects based solely on automated processing.

Send requests to hello@vionatravel.com. We may verify your identity and clarify the scope before responding. You may also raise a complaint with the competent UAE authority. Exercising a right does not affect any mandatory consumer right.

11. Marketing and cookies

You can unsubscribe from email marketing using the link in a message or by contacting us. Service communications about an active enquiry or booking are not marketing. Non-essential analytics and advertising technologies are controlled through our cookie-preference tool; see the Cookie Policy for details.

12. Updates and contact

We may update this policy when our services, providers or legal obligations change. Material changes will be highlighted where appropriate and the date above will be revised.
